You press send, glance at the name, and your stomach drops. The salary sheet went to a client. The customer list went to a supplier with a similar name. It happens in every office, usually on a busy afternoon.
Short answer: if you've sent an email to the wrong person, act within the hour and stay calm. Try to pull it back, ask the recipient to delete it, write down exactly what went, tell the owner, then fix whatever caused it. Speed matters more than perfection.
Sent an email to the wrong person? What to do in the first hour
1. Try to pull it back
Gmail's Undo works only for a few seconds after sending, and you can set that window in settings (Google's help page shows how). Outlook's recall works only in some work setups, so don't count on it. For a wrong WhatsApp message, use "Delete for everyone" quickly, as it is only offered for a limited time.
2. Ask the recipient to delete it
Call if you can; it is faster and friendlier than email. Keep it simple: "I sent you a file by mistake. Could you delete it without opening it, and reply to confirm?" Most people are happy to help.
3. Note exactly what went
Write down the time, the recipient, the file or message, and what was in it. Was it names only, or bank details too? You'll need this later, and memory fades fast.
4. Tell the owner, the same day
Hiding it is the real mistake. The owner can't help with something they don't know about.
5. Fix the cause
Was it autocomplete? An old group? A long forwarded thread? Fix that one thing so it doesn't repeat.
Calm and quick beats perfect
What does a calm response look like?
Picture a 20-person handicrafts exporter in Jodhpur. An accounts assistant emails the full buyer price list to the wrong agent. She calls him within ten minutes. He deletes it and replies to confirm. She notes what was sent and tells the owner before lunch. The owner thanks her for speaking up, and they remove that agent's old address from the shared contact list.
The mistake took a second. The calm response took twenty minutes and kept it small.
In short
- Pull it back if you can, then ask the recipient to delete and confirm
- Write down what went, and tell the owner the same day
- Thank people who report mistakes, then fix the cause
